How We Handle Personal Information

1. What we collect

To file the permit and border pass applications we collect: traveller name, nationality, document type and number, date of birth (in some cases), photographs or scans of the passport and visa pages, itinerary and accommodation details, contact name, phone number and email address, and order and payment information.

2. How we use it

Only to check and compile application materials, file the application with the competent authority, follow up on progress, send you permit and order notifications, handle refunds and after-sales support, and cooperate with verification by the authority where the law requires. We do not use your document information for any other purpose.

3. How we share it

Apart from submitting what is necessary to the competent authority to complete the application, we do not provide your document information to third parties. Transaction data generated by payment is handled by WeChat Pay and Alipay under their own rules. Exceptions apply where the law provides otherwise.

4. Retention

Sensitive information such as document photographs is deleted within 90 days after the order is completed. Order and transaction records are kept as required for tax, accounting and regulatory purposes. Beyond the retention period we delete or anonymise the data.

5. Your rights

You may access and correct your information, and you may ask us to delete document photographs earlier once processing is complete. To exercise these rights, contact us using the phone number in the footer or the email address on your order; we will act after verifying your identity.

6. Security

Document photographs are stored in a non-public directory with restricted access; transmission uses encrypted channels; internal access is granted on a least-privilege basis.

7. Minors

Where a minor travels, their guardian submits the information and gives consent on their behalf.
